  • Human Resources/Associate Manager

    Description: Job Functions The Human Resource/Associate Office Manager position is a senior position responsible for the oversight of the Administrative, Human Resources and Information Technology arms of Company offices. The Human Resource/Office Manager must be an effective leader and manager of personnel, ensuring that Company goals and objectives are met. The Human Resource/Associate Office Manager is responsible for the day to day operations of the offices as a whole. Focus should be placed on working towards documenting all Standard Operating Procedures, streamlining tasks, and providing input, oversight and assistance where needed. The position is multi-tiered; therefore, the main components are addressed below. Qualifications The candidate must be confident, capable, ethical and decisive. The Human Resource/Associate Office Manager position is a position of trust where the employee will have access to confidential information related to Company and its employees. Discretion is essential. Candidate must have the ability to interact with people of all ages and cultural backgrounds; be able to work independently and as part of a team. The ideal individual will be an effective communicator; be even-tempered; possess strong knowledge of property management; be highly motivated and have an appreciation for fast-paced environment. This position requires a candidate who is able to effectively manage others; has exceptional oral & written communication skills; and is a committed team player. Sound, current computer and small office management skills are a must. The Human Resource/Associate Office Manager is expected to be on-call for major IT & HR issues. Administrative Duties The Human Resource/Associate Office Manager will oversee all current and future administrative support positions at the firm. The Human Resource/Associate Office Manager provides oversight and training to the Admin Position as well as back up support and vacation/ sick time coverage for the necessary daily functions of the position (i.e. mail & check processing, incoming fax, phone, email management, etc.). In addition, the Human Resource/Associate Office Manager will: Help manage the Administrative Budget Coordinate and approve orders for apparel, office supplies, stationery, envelopes, labels, business cards, etc. as needed; Provide support and assistance to all Company Divisions; Arrange for administrative support to the Owners; Develop and manage the office personnel filing system, both actual and virtual, and provide training on use of the same; Develop and delegate the ongoing updates of the office handbooks and emergency compliance books; File all sensitive documents; Schedule third party training for employees as needed; Coordinate travel as needed;and, Human Resource Duties: As the Human Resources contact, the Human Resource/Associate Office Manager must maintain an impartial stance in employee issues. To be effective, the Human Resource/Associate Office Manager will need to take a firm but friendly stance and be able to effectively mediate conflict. Issues must be promptly addressed and documented. In this role, the Human Resource/Associate Office Manager will: Help oversee payroll deployment and provide back-up support and coverage for vacation and sick leave ; Administer all employee benefits, including education of employees on available benefits, waiting periods, etc.; Take the lead in the Recruitment process including advertising open positions, collecting resumes, conducting first interviews, administering testing, and performing background, credit & reference checks; Process all new employees ensuring all needed paperwork is signed and properly filed, assigning security codes, e-mail addresses, etc. Document Terminations and conduct the related exit interviews, ensuring all Company property is recovered; Manage Employee recognition and reward (bonus) programs; Update and distribute the Employee Handbook; Document and submit Worker's Compensation claims; Coordinate Company functions including: Holiday Parties, Company Picnics, Charity events and the like; and, Assist in the coordination of training sessions with vendors/contractors; Information Technology Duties: The Company's IT infrastructure provides the employees with the tools needed to perform their job effectively. It is expected the Human Resource/Associate Office Manager will be on top of all IT issues and is the main point of contact for remedying issues. The Human Resource/Associate Office Manager is/will: Responsible for the implementation, management, supervision and evaluation of all server and desktop hardware (servers, firewalls, desktops, etc.); Responsible for the implementation, supervision and management of all software; Remain up-to-date on all modifications to software and provide training & documentation to staff as needed; Perform and/or initiate hardware maintenance to keep performance at optimal levels; Oversee allowed senders lists; Manage the daily and ongoing server back-up, ensuring that the media is secured in an offsite location on a daily basis; Manage the Company website with the help of a third party contractor, granting access to secure areas of the site to designated employees and Clients. In addition to the responsibilities listed above, the Human Resource/Associate Office Manager will: Meet periodically with the Owners and have phone conference calls to provide updates on projects and set goals, both for the position and the Company at large; Provide support to other departments and the Owners of the firm; Signatory authority for budgeted items up to $5,000 and non-budgeted items up to $1,500; and Act as an ambassador for the Company at all times. * Travel This position will require occasional travel to and from offices and sites located throughout greater Vermont. The Company utilizes internet discount sites to obtain hotel and other travel accommodations. Vehicle/Mileage The candidate must have adequate transportation to travel to properties, offices and other locations as needed. The Company will reimburse mileage at a rate determined in accordance with Company standards when personal vehicles are used for job-related duties. Hours & Commitment This position is defined as full time, 40 hour per week employment, however the nature of the business is such that there are many times when travel requirements or work load may require hours beyond the base 40. Employees are expected to work these hours as needed.
